Refund Policy

At Whiteboard Consultancy, we strive to deliver high-quality consulting services and maintain transparent, fair policies. We understand that circumstances may arise where clients request a cancellation or refund.
This Refund Policy outlines how we handle such situations.
1. General Policy
We offer refunds on a prorated basis for eligible services that are canceled prior to full completion. Refund eligibility is determined by the stage of service delivery and the amount of work already performed.
2. Eligibility for Refunds
A prorated refund may be issued if:

A client cancels a service agreement in writing before all deliverables have been completed.

Whiteboard Consultancy is unable to complete the agreed-upon services due to unforeseen circumstances on our end.

Services are pre-paid, and the remaining balance of unused work has not commenced.
No refund will be issued if:

Services have been fully rendered or delivered.

A significant portion (typically more than 75%) of the agreed scope of work has been completed.

The client breaches the terms of our agreement or fails to provide necessary input or access.
3. Proration Method
If a refund is approved, it will be calculated as follows:
Refund = Total Amount Paid – (Hourly Rate or % of Work Completed)
Example:
If a client prepaid $1,000 and 40% of the agreed services were completed, the client would be eligible for a $600 refund.
4. Processing Refunds
Approved refunds will be processed within 30 business days to the original method of payment or another method agreed upon in writing.
5. Non-Refundable Items
The following are non-refundable:

Administrative fees or deposits clearly marked as non-refundable

Time spent on discovery, assessment, or onboarding once initiated

Third-party costs already incurred on behalf of the client (e.g., software, travel)
6. Client-Initiated Cancellations
Clients wishing to cancel must notify us in writing via email. The effective date of cancellation will be the date the written notice is received.
7. Company-Initiated Cancellations
In rare cases, Whiteboard Consultancy may cancel a service engagement due to unforeseen circumstances. In such cases, we will offer either a prorated refund or a mutually agreed credit toward future services.
8. Dispute Resolution
If there is a disagreement regarding the amount of work completed or refund eligibility, we will make a good faith effort to resolve the issue through open communication. Disputes may be escalated to mediation or small claims court in Calgary, Alberta, if necessary.
